Administrative Director

Location: Columbus, GA (Not a remote position. No relocation assistance provided.)

Position Type: Part-Time Contractor
Pay Rate: $30,000-$35,000 (one year contract)
Reports To: The Columbus Ballet Board of Directors
Supervises: Administrative Coordinator

Position Summary

The Administrative Director is the operational leader responsible for overseeing the administrative, financial, and logistical functions of The Columbus Ballet. This role ensures the efficient operation of studio programs, supports production and development activities, and serves as a key liaison among staff, instructors, families, donors, and Board leadership. The Administrative Director plays a vital role in advancing the organization’s mission by maintaining strong systems, clear communication, and sound administrative practices.

Key Responsibilities:

Leadership & Supervision:
- Supervise and support the Administrative Coordinator, delegating tasks and overseeing day-to-day administrative workflows
- Establish priorities, ensure accountability, and provide guidance to maintain efficient operations

Studio Operations & Scheduling:
- Manage studio scheduling, including class calendars and instructor schedules
- Oversee student enrollment, registrations, sign-ups, waitlists, withdrawals, and class rosters
- Ensure completion and maintenance of waivers, releases, and required documentation

Student Records & Communication:

Maintain accurate, confidential student records, including enrollment and attendance data
- Serve as the primary point of communication between parents, dancers, and instructors
- Respond to inquiries and resolve administrative issues in a timely, professional manner

Instructor Coordination:

Communicate schedules, policies, and operational updates to instructors
- Support instructors with administrative needs related to classes, rosters, and student information

Financial & Administrative Management:

Manage administrative financial functions, including contracts, payments, and vendor records
- Maintain accurate profiles and documentation in Xero, including contractors and vendors
- Prepare and update contractor documentation such as W-9s and related records
- Purchase studio and office supplies in alignment with approved budgets
- Complete administrative and financial tasks as delegated by the Board Treasurer and President

Development, Donor Relations & Stewardship:

Manage donor acknowledgments and ensure timely, accurate recognition
- Partner with leadership to support development activities and stewardship efforts
- Maintain donor records and assist with reporting as needed

Marketing & Communications:

Execute organizational marketing strategies in collaboration with the Board
- Support administrative aspects of communications, promotions, and outreach efforts

Production & Program Support (Non-Artistic):

Manage production-related administrative tasks, including logistics, scheduling, contracts, and coordination (excluding artistic direction)
- Support operational planning for performances and events

Board & Leadership Support:

Provide periodic reports and updates to the Board President
- Collaborate closely with the Treasurer and President on operational priorities
- Perform additional duties as assigned by the Board of Directors

Qualifications

- Proven experience in administrative management, operations, or nonprofit leadership
- Strong financial and organizational skills, with experience using accounting or financial systems (Xero preferred)
- Excellent written and verbal communication skills
- Ability to manage others, multiple priorities, and deadlines effectively
- High level of discretion and professionalism
- Experience in arts, education, or nonprofit environments strongly preferred
- Experience with conflict resolution
- Minimum: Associate’s Degree or Higher
